In line with the General Data Protection Regulations (GDPR), effective from 25th May 2018, LSCS (the Society) wishes to inform you how we manage and protect any personal data that we hold.
What information does the Society hold?
1. The Society has an electronic postal mailing list containing initial(s), surnames and postal addresses. It is used to post out the annual brochure containing information about the next season’s concerts along with a subscription booking form.
This list comprises people who have subscribed in the past to the concert series, those who like to receive the annual brochure of concerts for information and those who have asked to be added to the list.
The list is not used for marketing purposes beyond the annual brochure, though occasionally we may inform Members by post of important information concerning the running of the Society. [Members are those who have paid an annual membership fee, usually paid when subscribing to the season’s concerts.]
The Society holds a paper file of all subscribers’ names and addresses, plus phone numbers and email addresses where supplied, for the previous and current seasons. Older records are shredded. Where permission is given, the email address may be added to the Society’s email list.
The names, addresses, phone nos. and email addresses of the Society’s Patrons and Friends are held by the Society’s Secretary, plus the Trustee with responsibility for the Society’s Patrons and Friends, in order to administer the Friends scheme and communicate with the Patrons.
2. The Society has an email list generated from people who have purchased concert tickets online and have agreed to receive marketing information from the Society, or have asked to be included on the list.
The email list is used primarily to send out reminders about forthcoming concerts, but on occasions it is used to deal with any specific ticketing issues. It may also be used to inform people of other local musical events of interest.
How is the information held?
All the electronic postal contact information is password-protected and held securely by the Society’s Secretary. The Secretary also holds securely the paper file of subscribers. The Friends’ and Patrons’ details are kept securely by both the Secretary and relevant Trustee.
All the email addresses are held securely in password-protected files by the Trustee responsible for email contact. Addresses are always Bcc’d to maintain privacy.
We do not pass on any personal details to any other organisation for marketing purposes.
